Dear user, thank you for using the User Magic for Jira app.
To use the app and all its features there are some neccessary and optional steps you should check.
Go to Manage Apps > User Magic for Jira > Configuration
Please remember, that you need to be a Jira Admin to access the App configurations.
App user (necessary)
The App user tab is there to define a user, who will be used as the one creating new users, as it is required to authorize the access towards the Create User API. This only has to be done once.
Please notice, that this user has to have the organisation admin role.
As you open the tab on the page in “Manage your Apps“, the current user will automatically be selected as the app user.
To authenticate yourself please create a new API token by clicking on , which will re-direct you to your personal security settings.
Select and it to the clipboard.
Switch back to the App User configuration tab and paste it into the field.
To confirm just click .
Step-by-Step
Reset the App user
If you want to change the App user or want to remove the actual one, just click on and confirm your choice on the following pop-up.
Please notice that the “Invite user” action will not work without a defined App User.
Mapping
You may already have an onboarding process and use specific custom fields to save your new user’s email address or the name of a colleague that will function as a reference user. For this use case we added the Mapping feature.
Simply select the custom fields (short text only) that will be used by the app on the issue view and click . This way everything you need is shown on the app UI!
If you don’t want to use the mapping function just select <none> in the custom field select list.
Project Enablement (necessary)
To use the app on the issue view it is neccessary to define for which projects and issue types the app should be available. This can be done on the Project enablement tab in the app configuration.
Just click on / to en- or disable the app for a project. By default every project is disabled.
As you enabled the app for a project you can expand it and en- or disable the app for specific issue types. By default every issue type is enabled for the selected project.
Permissions (necessary)
To use the app on the issue view you must define which users can invite users and assign groups or just see the apps history. This can be done on the Permissions tab in the app configuration.
To define the permissions for users or groups simply type in the user or group picker field and select one or more objects. By clicking Add permission, the new users or groups are granted permission.
Show App History Permissions
Users or groups with this permission are allowed to see the apps UI on the Issue View after the triggered action, so you can view its documentation as followed:
Invite User Functionality Permission
Users or groups with this permission are allowed to trigger the “Invite user” and “Assign groups” functionality on the apps Issue View as described in the User Guide.
âť— Every user who has the app permission Invite User Functionality will also have the global permission to Browse users and groups for this use case.
Invite Users
As the app is not only designed to work on the issue view, jira admins can use it in the backend to easily invite a new user or assign groups to an existing user.
Invite new user
Insert the email address of the new jira cloud user
Select a reference user or check the “Invite user without groups“ box
Unselect groups you don’t want to assign
Click “Invite user“
Assign groups to exising user
Insert the email address of the existing jira cloud user
Select a reference user
Unselect groups you don’t want to assign
Click “Assign groups“
